The New Booking System Explained

We know change can takes some time to get used to and we want to help you along the way. That’s why we have broken down the new booking system below and explained how it all works. We’ve included screenshots for your enjoyment as well!

We love this new system and find it so much easier to use and we hope in time you will too!

Just a warning: this is not one of the super interesting blog posts you are used to from PPF, but its a necessary one! We really hope you learn a bit about the new app!

Let’s talk about Waitlists

We encourage everyone to use the waitlists as we know the process works and there is usually a good chance you will get into a class off the waitlist.  If you waitlist a class, treat it like any other class and assume that you will be attending this class.  That means, like every other class, if you can no longer attend, remove yourself from the waitlist as early as possible!

In the new system the waitlisted classes are on a separate tab in the app; see the screenshot below.

Select Bookings from the bottom of the app – then select Waitlist at the top of the screen in the middle– here you can view and cancel your waitlisted classes.

If you have set up Push Notifications on your phone, you will receive an alert when you are added to a class, as well as receiving a Booking Confirmation email – this confirms that you now have a confirmed booking in this class and are off the waitlist. If you can no longer attend the class, please cancel by clicking on the cancel link in the email or cancel on the app by going into Bookings, click on the class, then press cancel at the bottom.

 

We know that sometimes you are promoted off the waitlist within less than 12 hours’ notice before the class commences. The procedure is the exact same as it was with the old system; our admin ladies will look at what time you were taken off the waitlist. If you were taken off the waitlist at 10pm for a 5:30am class, you will not be charged for cancelling, as this is less than 12 hours’ notice. If you were taken off the waitlist at 7:30am am on Saturday for a Sunday 7:30am class, you will be charged for not attending or for cancelling late minute, say 7am, as you had more than 12 hours’ notice (you had 24 hours). If you do not look at your emails on a weekend, get those push notifications activated so you can see when you are promoted into a class! This leads perfectly into the next paragraph:

 

Treat a waitlisted class like a confirmed class!

Here are our top tips for waitlisting:

1. If you have waitlisted a class, the onus is on you to check to see if you have been added to the class. 
2. If you assume you won’t be attending the class and make other plans, remove yourself from the waitlist at this time
3. You don’t need to wait to be added to the class before you can cancel out of the waitlist.

 How to set up Push Notifications on an iPhone

Go to Settings – scroll down to Notifications – scroll down to the Premium Pilates and Fitness app (make sure it is the new app with the white background and black letters!) – select Allow Notifications (see above). The ‘Allow Notifications’ button must be green.

Now you can receive push notifications when you get off a waitlist!

Booking two classes that run at the same time

We know that some of you like to book into a floor class and waitlist for a reformer class at the same time or vice versa. If you are booked into a class, you can waitlist for another class that is running at the same time. However, the booking system will not promote you off the waitlist into the class, as it registers that you are already in a class at that time.

 

So, our advice is the following: watch the status of your waitlisted class in the app under Bookings – Waitlist. If you are number 1 on the waitlist and the class is still a day away there’s a good chance you will get in, therefore you may want to hedge your bets and cancel out of the class you have booked, so you can be promoted into the other class off the waitlist. If there is only 2 hours until the class commences and you are number 6 on the waitlist, chances are you will not get in, so it would be safer to stay with your confirmed booking in the other class.

Outstanding Accounts

If your membership payment fails, you will be locked out of the system and won’t be able to book any classes.

The simplest way to ensure this doesn’t happen is to make sure that you have funds in your account. Below are screenshots to show what your app will look like if your account is locked. Your profile on the top left hand corner will have a red 1 attached to it.

How to pay an Outstanding Balance

At this time, you cannot pay the outstanding balance on your app. Instead, you will see the message ‘Please contact Premium Pilates’. One of our admin staff will text you to let you know that you are in arrears. As soon as you have sufficient funds in your account, please text or email hi@premiumpilates.com.au so that we can unlock your account.

How to Change a method of payment

If you need to change a method of payment on your account, click on the little person icon at the top left of the app, then click on Payments, then click on Add a Card or Add mandate for direct debit and follow the prompts. See the pictures below.

Note: you cannot have two credit cards on file. If you need to delete a credit card for any reason, you need to replace the card with another card or with a direct debit. See the screenshots below.

Refunds

We are aware that there is a delay in refunds coming through the new system currently. We have logged the issue with the booking system, and it is being addressed as a priority. We thank you for your patience and understanding with this.

Haven't registered in the new booking system?

We get it, life gets busy and you may not have known that we have changed booking systems. Your membership did not carry over from the old booking system, so to book into classes you must sign up again and purchase the membership.
